Africa Climate Solutions (ACS) is evidence and innovation centered scientific non-profit Non-Governmental Organization (NGO) dedicated to advancing climate-resilient, environmentally sustainable, and equitable development across Africa. ACS operates to generate actionable scientific evidence that supports resilient development pathways, climate justice, and sustainable environmental management. The organization focuses on scientific research, climate analytics, data systems, innovation, climate services, and evidence-based policy support across critical sectors including agriculture, water, energy, health, infrastructure, ecosystems, governance, and climate finance.

About the Position
The Administration and Operations Manager will oversee ACS’s operational, administrative, financial, and organizational support systems to ensure efficient, transparent, and accountable institutional management. The position is critical to establishing strong operational foundations for ACS as a growing science-policy and innovation organization.
The Manager will be responsible for coordinating administrative systems, procurement, logistics, office operations, human resource support, compliance processes, and institutional governance functions. The role requires strong organizational leadership, operational planning capacity, and understanding of administrative systems within research and development organizations.
The position will also support the establishment of efficient institutional procedures, financial accountability systems, operational policies, and organizational risk management mechanisms necessary for donor compliance and institutional sustainability.
Specific Terms of Reference include:
- Oversee day-to-day administrative and operational functions of ACS.
- Coordinate office management, logistics, procurement, and inventory systems.
- Support financial administration and institutional compliance processes.
- Develop and implement operational policies, procedures, and internal controls.
- Coordinate human resource management processes including recruitment, contracts, and staff support.
- Ensure compliance with donor requirements, institutional policies, and legal obligations.
- Support planning and coordination of institutional events, workshops, and travel arrangements.
- Manage organizational records, documentation systems, and reporting processes.
- Support operational risk management and organizational effectiveness initiatives.
- Coordinate with finance, technical, and leadership teams to ensure efficient institutional operations.
Requirements
- Bachelor’s or Master’s degree in Business Administration, Management, Finance, Public Administration, or related field.
- Minimum of 5 years of relevant experience in administration and operations management.
- Strong understanding of organizational systems, procurement, logistics, and compliance.
- Experience supporting donor-funded programs and projects is desirable.
- Strong organizational, leadership, and problem-solving skills.
- Proficiency in office management systems and digital administrative tools.
- Excellent communication and interpersonal skills.
